AI Visibility Reporting Template for Agencies

The exact reporting structure, metrics, language, and commentary format agencies use to present AI visibility data to clients. Copy-paste ready.

Report structure overview

The most effective AI visibility reports follow a consistent structure that mirrors how clients process information: headline number first, context second, action third. Keep it simple. Here's the structure:

A.
AI Visibility ScoreHeadline number + month-over-month change
B.
Platform breakdownChatGPT / Perplexity / Google AIO scores
C.
Best performing queriesTop 3 keywords where the brand appears
D.
Competitor comparisonClient vs. 2–4 competitors
E.
Score trend (6 months)Progress chart showing long-term trajectory
F.
This month's action itemWhat you're doing to improve the score

Section A: AI Visibility Score - template language

Copy-paste template

"Your AI Visibility Score this month is [score] (out of 100), [up/down] [change] points from last month. This score represents how often [Client Name] appears in ChatGPT, Perplexity, and Google AI Overviews when someone searches for your product/service category."

Example (filled in):

"Your AI Visibility Score this month is 47 (out of 100), up 9 points from last month. This score represents how often Acme Software appears in ChatGPT, Perplexity, and Google AI Overviews when someone searches for project management tools."

Section B: Platform breakdown - template language

Copy-paste template

"Breaking down by platform: ChatGPT visibility is [score], Perplexity is [score], and Google AI Overviews is [score]. [COMMENTARY: Highlight the strongest platform and explain what it means. If one platform is significantly weaker, note why and what you're doing about it.]"

Commentary example - Perplexity leads:

"Your Perplexity visibility is strongest at 64 - likely driven by the Capterra and G2 review volume we've been building. ChatGPT is at 38, which is typical for this stage; it reflects older training data that takes longer to update. We're focusing on Perplexity in the near term because it moves faster."

Section C: Top queries - template language

Copy-paste template

"Your strongest AI visibility is for these queries: [Query 1] (appears in [X]/10 responses), [Query 2] ([X]/10), and [Query 3] ([X]/10). You can check these yourself - try asking ChatGPT '[Query 1]' and see if we appear."

Section D: Competitor comparison - template language

Copy-paste template

"Here's how your AI visibility compares to your main competitors this month:"

[Your Client]47
[Competitor A]63
[Competitor B]41
[Competitor C]28

"[COMMENTARY: Explain the competitive gap. If the client is above any competitor, highlight it. If a competitor significantly leads, explain what's driving it and the plan to close the gap.]"

Commentary example - client trails leader:

"Competitor A leads at 63 - they have significantly more G2 reviews (380 vs. your 47) and have been featured in three 'best project management tools' articles in major publications this year. Our citation-building strategy is targeting the same publications. Competitor B is 6 points below you - you're already outperforming them across most query types."

Section F: Action item - template language

Copy-paste template

"This month we're [specific action]. We expect this to [expected impact and timeline]. We'll track whether it moves [specific metric] in next month's report."

Examples:

"This month we're pursuing inclusion in the Forbes '15 Best Project Management Tools' list - they're updating it next month and currently include Competitors A and B but not you. We expect this to increase ChatGPT mention rate by 8–12 points over the following 6 months."

"This month we're running a review campaign targeting G2 - goal is 20 new reviews from satisfied customers. We expect this to show up in Perplexity citation rate within 2–3 weeks."

Frequency and format notes

Monthly cadence

AI visibility changes slowly enough that weekly reports create noise. Monthly is the right cadence - it shows meaningful change without overwhelming clients with micro-movements.

Length

The AI visibility section should be 1–2 pages in a larger report. Don't over-expand it. Brevity builds trust.

Consistent format

Use the same structure every month. Clients should know exactly what to expect and where to find each data point. Consistency makes the data easier to process.

Highlight the trend, not just the number

Month-over-month change is more meaningful than the absolute score. A 5-point increase at a score of 30 is excellent; a 2-point drop at 70 might need explanation.
